Launch a Mass Email Campaign
This guide shows you how to navigate from the dashboard through appointments, live chat, and the Leads module to manage individual lead communications. You’ll then learn how to open Email Marketing, define your audience, and start a new mass email campaign using templates for targeted outreach.
Steps
- Review the new campaign setup screen — Review the fields and options on the New Campaign screen so you are ready to continue configuring recipients, content, and scheduling in the next steps.
- Click into Campaign Title — Click the Campaign Title input field under Recipients to begin entering a name for your email campaign.
- Choose Leads as recipients — In the Select Options to Send to panel, click Leads so the campaign will target leads instead of clients or staff members.
- Start a new email campaign — On the Send Mass Email screen, click the New Campaign tab to begin creating a new email campaign.
- Open Email Marketing — In the sidebar, click Email Marketing to access mass email campaign tools.
- Close the lead email modal — Click the × icon in the top-right of the lead modal to close the email view and return to the Leads list.
- Place cursor in Email Subject template field — Click the Subject input under Template to start entering or editing the template subject line.
- Select a template from the list — From the expanded Template dropdown, click again within the options to choose one of the listed email follow-up templates.
- Open template dropdown — Click the Template dropdown labeled Nothing selected to view available email templates.
- Insert an email template — On the Email tab, click the Insert Template button to add a predefined email template into the editor section.
- Switch to Email tab for the lead — In the lead modal, click the Email tab to compose or review emails associated with this lead.
- Switch to Calls tab for the lead — Click the Calls tab in the lead modal to view or log call activity for this lead.
- Place cursor in SMS Text box — Click inside the SMS Text field to start composing a new SMS message for the selected phone number.
- Switch to SMS tab for the lead — Within the lead details modal, click the SMS tab to manage SMS communication for this lead.
- Open a lead record — In the Leads table, click the lead name "Yara White" to open the lead details modal.
- Navigate to Leads module — From the sidebar, click Leads to open the Leads list view.
- Open a specific chat conversation — In the Live Chat inbox list, click the Sales Visitor conversation to load its message history on the right.
- Open Live Chat — Click Live Chat in the left sidebar to open the chat inbox and view active and ended conversations.
- Return to Appointments from Availability — In the sidebar, click Appointments to leave the availability screen and go back to the main appointments section.
- Open staff Availability settings — On the Staff Calendar, click Availability in the Support Team section to edit availability and schedule management.
- Open Staff Schedules — In the sidebar under Appointments, click Staff Schedules to manage staff calendar settings.
- Select another appointment — Click the Ruby Sullivan appointment card to highlight a different appointment on the calendar.
- Open a calendar appointment — On the Calendar, click the Burlington appointment card to select that appointment on the calendar grid.
- Return to Calendar from Appointments — In the Appointments Summary, click Calendar in the left sidebar to go back to the calendar view.
- Switch to Appointments list — From the Calendar view, click Appointments in the left sidebar to open the Appointments Summary list.
- Go to the Calendar view — Under Appointments, click Calendar to open the appointment calendar view.
- Open Appointments section — In the left sidebar, click Appointments to expand and access appointment-related options.
- View Other notifications — Click the Others tab to show notifications that fall outside the main categories.
- Open Clients & Leads notifications — Click the Clients & Leads tab to view notifications related to clients and leads.
- Switch to Appointments, Invoices & Payments tab — On the Notifications page, click the Appointments, Invoices & Payments tab to view notifications related to appointments and payments.
- Click on Notifications — Click Notifications in the left sidebar to open the Notifications page and view grouped notification tabs.
